Accounting software companies sell to accounting firms by reaching the partner who owns the workflow, pitching staff hours saved during tax season, and booking demos in the months when partners have time. At small and mid-size firms, those partners also recommend software to their clients, so one firm that adopts a tool can bring many client accounts with it.

Who decides at an accounting firm?

The decision moves away from the founding partner as the firm grows. The table below uses the size bands from the AICPA's CPA Firm Top Issues Survey. The roles in each row are our read from selling to firms, so treat them as a starting map.

Firm size (professionals) Who decides What they want to hear Where they find vendors
1 to 10 The owner, who also does the work Fewer hours per return at a price the practice can absorb App marketplaces of the ledger their clients use, peer forums
11 to 30 Managing partner, with the staff who will use the tool Work the firm can accept without a new hire Peer referrals, state CPA society events
31 to 100 Managing partner plus an operations or technology lead One workflow across every office, partner time freed Conferences, peer groups, references from firms of the same size
101 to 500 Technology or innovation partner, service line leaders, IT and security Fit with the current stack, data security, a pilot one service line sponsors References, supplier shortlists, the stack a private equity owner sets

Firms above 500 professionals buy through formal procurement, with independence and security reviews. That sale is set out in how to sell software into Big 4 and mid-tier accounting firms.

What problem should the pitch lead with?

Lead with staff capacity. The AICPA's Private Companies Practice Section surveyed 629 firms between 20 April and 22 May 2026. Managing change from technology and AI ranked as the leading issue for firms of every size over the next five years (AICPA, June 2026). Hiring experienced staff ranked first today for firms with 11 to 30 professionals, and every group except solo practitioners listed staff retention as a top five-year issue.

So price the product in hours. Show how many hours it removes from one return, one close or one audit file, and how much extra work the current team can then accept. A partner who cannot hire will pay to stop turning work away.

The second argument is the client. A firm that recommends a tool puts its name behind it, so show what the client gets: cleaner books, fewer questions at year end, a report the firm can bill as advisory work. At Koinly we built the enterprise sales process from zero, and the enterprise accounts we closed there included UHY, Crowe and EisnerAmper.

When should you contact accounting firms?

The tax calendar sets the sales calendar. IRS Publication 509 for 2026 puts partnership and S corporation returns on the 15th day of the third month after year end, and individual returns on the 15th day of the fourth month, which is 15 April for calendar-year filers (IRS, 2026). Six-month extensions move those deadlines to mid-September and mid-October.

Window What tax-focused firms are doing What to send
January to mid-April Filing season Nothing new. Support existing trials.
Late April to August Reviewing the season, setting budgets Demos and pilots built on last season's pain
September to mid-October Extension deadlines Short notes and one case study
Late October to December Planning the next season Contracts and onboarding before January

Audit-heavy and advisory firms peak at other times, often around client year ends. Check a firm's service mix on its website before you set the sequence.

Which channels reach accounting firms?

Four channels produce most first meetings at small and mid-size firms:

  1. Ledger integrations. Partners search the app marketplace of the general ledger they use with clients. An integration with a listing there turns that search into inbound demand.
  2. Peer references. Partners ask other partners. A reference from a firm of the same size carries more weight than a case study from a larger one.
  3. Continuing education. CPAs need continuing professional education credits to keep their licences. A webinar that teaches a real technical topic and qualifies for credit draws partners who would ignore a product demo.
  4. Timed outbound. Write to a named partner in the open windows above, and open with one fact about the firm's services. We explain which events justify a first email in which buying signals predict a B2B purchase.

Does private equity change how accounting firms buy software?

Yes. It moves the software decision from the acquired firm to its new owner. Accounting Today traces the wave to August 2021, when EisnerAmper took an investment from TowerBrook Capital Partners. In January 2025 Blackstone agreed to buy a majority stake in Citrin Cooperman from New Mountain Capital, the first transfer of an accounting firm between private equity owners in the US (Accounting Today, June 2025). The same report describes two models. Large firms sell a majority stake and use the capital to acquire smaller firms. Platforms, often owned by private equity, roll up regional firms.

Both models standardise software. After a deal closes, the acquired firm moves onto the platform's tools, and its partners lose the vote. Track acquisitions as a signal in both directions. Sell to the platform before an acquired customer's renewal, and expect churn when a customer joins a platform that runs a rival product.

What should a vendor do this quarter?

Use this checklist before you build the next campaign:

  1. Sort target firms by the size bands above and name the decider for each band.
  2. Rewrite the pitch in hours saved per return, close or audit file.
  3. Book demos from late April to August, and contracts from late October to December.
  4. Build one integration with the ledger your target firms' clients use.
  5. Collect one reference customer in each size band.
  6. Check each firm's ownership before you forecast the deal.
